The equipment hire, its installation and trained operator supervision, is based on an hourly rate, in multiples of one hour.  Typically there is a minimum (“flag fall”) charge for the first hour to cover set-up/pack-down, pre-call briefing and rehearsal and administration, with a reducing charge for each hour thereafter. The cost of the Venue will vary according to the nature of the video conference event and the number of ISDN access lines required. Line and call charges vary with the distance between the call centres.  These may also vary with the time of day.  These charges are made by the carrier (usually Telstra) and are generally calculated on a per minute basis.  If you are CALLING then you pay these charges.  If you are CALLED the other end pays these charges.  The Venue will also levy an ISDN access charge to cover their monthly line rentals.  Often this is included in the venue hire. VIDEO QUALITY Video transmission quality is a function of the “bandwidth” (transmission ability) of lines involved.  For a small conference, involving a small group, a single 128kbps ISDN line is sufficient.  For a larger conference with greater activity and large screen or projected images a higher “bandwidth” (more lines – running in parallel) is needed.  These extra lines will incur extra line charges. A successful video conference is like a successful Stage Production – there is no substitute for professionalism, planning and rehearsal. Professionalism AV Corporate trained conference operators will  ensure you avoid all those “nasties” like - reflected sound, glaring patches of light, face shadows.  We even consider (if necessary) modesty panels to covers people's legs under a table.   Planning Planning involves developing a timing schedule with the other parties.  Remember about daylight saving when scheduling meetings. Not every state and country uses it.   Planning involves pre-arranging seating positions.  Remember that the person to your left will appear to the distant viewer to be on your right, and vice versa. It involves suggesting people wear suitable clothing colours.  Avoid black and navy suits - if necessary, remove your jacket. Pastel shades work well, as do bright blues. Avoid large areas of red, bright whites, busy patterns or glittery jewellery. Planning also involves preparing computer presentations and screen shots and promotional placards well in advance so that they can be put in place prior to final rehearsal. Rehearsal Immediately prior to connection, the AV Corporate conference operator will take you through the conference connection procedures and meeting process; making sure that everyone understands their role and the etiquette required for a successful event.  In a larger video conference the operator will likely remain to schedule associated presentations and supervise periodic adjustments to light and sound.
